Project Pricing

Pricing Policy Overview

When an artist creates a project on Qrates, our pricing calculator tool within Qrates Studio provides a quick tabulation of all production costs.

Once all production costs are paid, the pricing for the project is locked for a period of 60 days.

However, if a project is not in production - meaning all necessary production files are submitted and approved - within 60 days of completing payment, the project may be subject to changes in pricing due to fluctuating prices of raw materials in the global supply chain.

These changes may include but are not limited to: energy surcharges, production material shortages, changes in manufacturing materials availability, changes in personnel availability due to emergency situations, etc.

To avoid any complications resulting in volatility of production costs and accompanying surcharges, we advise that artists complete the submission of all production files in a timely fashion.

When does the 60 day period begin?

For Crowdfunding projects: The 60 day period begins and pricing is locked after the campaign has successfully ended and backers have been charged.

For Make & Sell and Make Only projects: The 60 day period begins and pricing is locked once payment for the production fees has been completed.

From this point, artists have 60 days to submit all necessary production files.

Example
If a Crowdfunding campaign ends successfully, or a Make & Sell/Make Only project completes payment for production costs on Sunday, March 12th 2023, then the artist has until Thursday, May 11th 2023 to submit all necessary production files.

When is a project considered to be in production?

All three project types are considered to be in production once all production costs have been paid and all necessary production files have been submitted by the artist and approved by Qrates staff.

Production files include the following: artwork files, audio files, tracklist, copyright declaration form, and any other necessary information for production such as mailing address for test pressings.

Please see our articles on artwork submission guidelines (vinyl/cassette) and audio submission guidelines (vinyl/cassette) for more detailed information.

Policy Notes and Exceptions

This policy does not cover requests to change project specifications.

Any requests for changing project specifications including but not limited to: order quantity, vinyl/cassette color, vinyl weight, packaging, order extras, etc. - may not be possible for Qrates staff to accommodate. All such requests are subject to additional fees.
Requests to change project specifications after a project enters production - meaning all production files have been submitted and approved - are generally not possible. For more information, please carefully review our policy on the Final Artwork approval notice for vinyl and cassette projects.
